Booking and Payment Terms and Condition
Bookings can be made through the following channels:
- Online: Via our website, social media accounts, Tourism platform.
In-person: At our office location during business hours. - Phone/Email: For inquiries and reservations, our customer service team is available.
A booking confirmation will be sent once the initial deposit is received. Full details about your tour, itinerary, and payment instructions will follow. - Deposit and Full Payment
• Deposit: A non-refundable deposit is required to confirm your booking. The deposit amount will vary depending on the tour package but generally ranges from 20% to 50% of the total tour cost.
• Full Payment: The remaining balance must be settled at least 30 days prior to departure or to be paid on arrival. Failure to pay by this deadline may result in the cancellation of your booking. - Payment Methods
We accept the following payment methods:
• Credit/Debit Cards: Visa, MasterCard, Pesa pal.
• Bank Transfers: Details will be provided upon request.
• Cash: We receive payment on arrival before starting the tour.
• Mobile Payment Systems: (if applicable based on local practices).
Please note: any transaction fees associated with payment methods (e.g., bank fees) will be borne by the client. - Price Changes
Severah Travel & Tour reserves the right to adjust tour prices if there are significant changes in costs due to unforeseen circumstances, such as:
• Fuel surcharges,
• Currency fluctuations,
• Increases in local taxes, or
• Significant changes in transportation costs.
In the event of such changes, we will notify you in advance. If the price increase exceeds 10% of the total cost, you have the right to cancel your booking and receive a full refund of any payments made, excluding the deposit.
2. Cancellation and Refund Policy
- Cancellation Terms
You may cancel your booking at any time, but please note that cancellation fees will apply based on when the cancellation occurs:
• More than 30 days before departure: Full refund minus the non-refundable deposit.
• 15–30 days before departure: 50% of the total tour cost will be refunded.
• Less than 10 days before departure: No refund will be issued. - Cancellation Fees
Cancellations will be subject to the following fees:
• Non-refundable deposit (varies by tour).
• Any third-party service fees (e.g., airline tickets, hotel bookings) are non-refundable once the service has been booked. - No-show Policy
If you fail to show up for the tour without prior notice, no refunds will be given. We recommend contacting us at least 48 hours before departure if you cannot attend. - Refund Process
Refunds will be processed within 14 business days and will be issued to the original payment method. Please note that third-party service fees (such as for flights or hotels) may not be refundable. - Travel Insurance
- Recommended Insurance
We strongly recommend purchasing comprehensive travel insurance to cover:
• Trip cancellations,
• Medical emergencies,
• Lost baggage,
• Flight delays or cancellations,
• Accidental injuries. - Liability for Insurance
It is the traveller’s responsibility to arrange for travel insurance. Severah Travel & Tour does not provide insurance services but will be happy to recommend reputable providers. - Changes to the Trip
- Operator’s Right to Modify Itinerary
Severah Travel & Tour reserves the right to modify the itinerary, accommodation, or transportation at any time due to unforeseen circumstances (e.g., weather, local regulations, safety concerns). We will provide you with a revised itinerary and assist with alternative arrangements where possible. - Traveler’s Right to Change Itinerary
If you wish to change your itinerary after booking, we will do our best to accommodate your request. However, changes are subject to availability and may incur additional fees. Any changes should be requested at least 14 days before departure. - Force Majeure
Severah Travel & Tour is not liable for any changes, delays, or cancellations due to force majeure events, including but not limited to natural disasters, political unrest, strikes, pandemics, or other circumstances beyond our control. We will work with you to provide alternative solutions where possible.
5. Traveler Responsibilities - Passport and Visa Requirements
Travelers are responsible for ensuring they have all necessary travel documents, including valid passports, visas, and any required vaccinations. Severah Travel & Tour is not responsible for any issues arising from missing or invalid documents.
NOTE: Client can get visa on arrival at the airport and the cost is $ 50 per visa
Health and Fitness Requirements
Certain activities may require participants to meet specific health or fitness standards. We advise all travellers to consult their physician before engaging in any physically demanding activities. Travelers may be asked to provide medical clearance in certain cases. - Behavioural Expectations
Travelers must respect the local culture, laws, and fellow travellers. Severah Travel & Tour reserves the right to remove any traveller from the tour if their behaviour disrupts the group or violates local regulations. In such cases, no refund will be issued. - Personal Belongings
Travelers are responsible for their personal belongings during the tour. Severah Travel & Tour is not liable for any loss, theft, or damage to personal items. - Liability and Disclaimers
- Operator Liability
Severah Travel & Tour will take all reasonable measures to ensure the safety and well-being of participants. However, we are not responsible for personal injury, accidents, or other unforeseen events during the tour. By booking a tour, you acknowledge the inherent risks of travel. - External Service Providers
Where third-party services (e.g., hotels, airlines, local operators) are involved, Severah Travel & Tour acts only as an intermediary and cannot be held responsible for the actions or failures of these providers. - Travel Risks
By booking, you acknowledge that travel includes risks, such as delays, accidents, illness, or loss of property. We strongly encourage you to take appropriate precautions and obtain insurance. - Shared vs. Private Experience
- Shared Tours
In shared tours, you will travel with other participants. The itinerary and group size will be set at the time of booking. Shared tours may have a mix of different nationalities, and we encourage mutual respect among all travellers. - Private Tours
Private tours provide exclusive services, with personalized itineraries and private transportation. These tours may be subject to different pricing and booking conditions. For specific requests, please contact us directly. - Travel Documents and Visa Requirements
- Travel Documentation
All travellers must have valid passports and any necessary visas for their destinations. It is your responsibility to ensure all documents are in order before traveling. - Entry Requirements
Some destinations require additional documentation such as proof of vaccinations or travel insurance.
Special Requirements and Requests - Dietary Requirements
Please inform us of any special dietary needs or restrictions at least 7 days before departure. While we will make efforts to accommodate your needs, please note that options may be limited in some locations. - Accessibility Needs
Severah Travel & Tour strives to accommodate travellers with disabilities or specific mobility needs. If you have special accessibility requirements, please inform us when booking so we can discuss appropriate arrangements. - Accommodation Requests
Specific requests for accommodation (e.g., room preferences) should be made at the time of booking. While we will try to accommodate these requests, they cannot be guaranteed. - Dispute Resolution
